TERMS & CONDITIONS – STUDIO HIRE POLICIES
At Castle Hill Dance Studio, we understand that plans may change, and we offer flexible hire options. However, to ensure fairness, consistency, and to accommodate other potential hirers, we have established the following terms and conditions.
By proceeding with the hire of our venue, you acknowledge and agree to abide by the terms and conditions outlined in this Studio Hire Policy. These terms are in place to ensure a smooth and professional experience for all parties involved. It is your responsibility to review and familiarise yourself with the full policy prior to confirming your booking. Violation of these terms may result in penalties or the termination of your booking at our discretion.
1. General Venue Hire (Cancellation or Changes)
- All requests to change, modify, or cancel a booking must be made in writing via text message to 0412 501 177 or by email to studio4hire@castlehilldancestudio.com.au.
- Cancellations or date change requests made within 24 hours of the scheduled start time, or without any notice, will incur a 50% charge of the total venue hire fee.
- Cancellations or date change requests made more than 24 hours before the scheduled start time will incur no charges.
2. Party & Event Hire (Cancellation or Changes)
- For parties or event hires, a minimum of 24 hours’ notice is required to avoid cancellation or date change charges.
- Cancellations or time/date change requests made within 24 hours of the scheduled event start time will incur a 50% charge of the total hire fee.
- No Show: Failure to show up for the booking without prior notice will incur a 50% charge of the total venue hire fee.
Please contact us as soon as possible (preferably by text message) if you need to modify or cancel your booking. We are happy to accommodate changes with sufficient notice. We appreciate your understanding and cooperation.
3. Dance Studio Hire Policy
At Castle Hill Dance Studio, we are committed to providing a safe and professional space for all our clients. To maintain this commitment, we have implemented the following policies for all hirers of our studio space:
4. Liability and Insurance Requirements
Public Liability Insurance
All individuals or organisations wishing to hire our studio are strongly encouraged to have their own Public Liability Insurance (PLI) with a minimum coverage of $20 million. This insurance should cover risks associated with the use of the studio, including but not limited to:
- Accidents and injuries.
- Property damage.
- Third-party claims.
Insurance Documentation
For hirers with insurance, a copy of your valid PLI certificate of currency must be provided at least 48 hours prior to the hire date. Failure to provide this documentation may result in the cancellation of your booking without refund.
Hirers Without Insurance:
If you choose not to hold PLI, you acknowledge that you are hiring the studio at your own risk. Castle Hill Dance Studio is not liable for any claims, damages, or losses arising during your hire period. By proceeding with your booking, you accept full responsibility for any incidents that may occur.
Indemnity
By hiring Castle Hill Dance Studio, you agree to indemnify and hold the studio, its employees, agents, and representatives harmless from any claims, liabilities, damages, or expenses resulting from:
- Injuries to individuals.
- Damage to property.
- Any incidents occurring as a result of your use of the premises.
Responsibility for Participants
Hirers are fully responsible for:
- The conduct and safety of all participants, clients, or attendees during the hire period.
- Ensuring all activities comply with safety regulations and guidelines.
- Using the studio space in a manner consistent with its intended purpose.
Studio Condition
Hirers must:
- Leave the studio in good condition, free from damage.
- Return all equipment and furniture to their original positions.
- Notify the owner immediately if:
- They identify any damage or defect to the premises or its equipment.
- They or their clients/agents cause any damage or defect to the premises or its equipment.
Any damage caused during the hire period will be the financial responsibility of the hirer.
5. Restricted Equipment Usage
- Certain equipment within the studio is strictly off-limits to all hirers, including but not limited to fit balls (exercise balls), acrobatics equipment, and frames or structures designed for specific use by our staff or for designated classes and events.
- These items are carefully maintained for specific purposes, and unauthorised use may result in accidents, damage, or misuse. For your safety, please refrain from touching, using, or moving these items during your rental period.
- Any damage caused to restricted equipment due to unauthorised use will result in repair or replacement fees, which will be charged to the hirer.
- If you require any of these items for your class or event, please consult with us in writing ahead of time. We are happy to discuss arrangements or additional services to meet your needs.
6. Prohibited Activities and Safety Policies
- No ball sports, throwing, or tossing items in the studio or foyer area is permitted.
- No climbing on equipment, stair railings, furniture, tables, chairs, or any other items in the studio is permitted. Violations of this policy, such as climbing on furniture or engaging in prohibited activities, may result in immediate termination of your booking without a refund.
- Alcohol Policy: No alcohol is to be brought onto or consumed on the premises at any time. As part of our commitment to maintaining a safe and professional environment, we strictly prohibit alcohol within the studio. Any violation of this policy, including possession or consumption of alcohol, will result in the immediate termination of your booking, and no refund will be issued.
- Any injuries suffered whilst upon the premises are to be notified to the landlord/owner within 24 hours of their occurrence. An incident report will need to be filled out and filed.
7. Force Majeure and Delays
Castle Hill Dance Studio will not be held liable for any failure to perform or delays in performance due to events beyond our control, including but not limited to acts of God, pandemics, or government-imposed restrictions.
8. Additional Insurance Recommendations
For certain types of events or high-risk activities, we recommend hirers secure additional event-specific or personal injury insurance to ensure full coverage during the booking period.
9. Damage Reporting
Any damage to the studio, equipment, or furniture must be reported to Castle Hill Dance Studio within 24 hours of the hire period ending. Failure to report damage may result in additional charges for repairs or replacement.
10. Repeated Violations
Repeated violations of any of the policies may result in a permanent ban from future bookings or additional charges, at the discretion of Castle Hill Dance Studio.
11. Emergency Procedures
Hirers must familiarise themselves with the studio’s emergency evacuation procedures, including the location of emergency exits, first aid kits, and emergency contacts. Hirers are responsible for ensuring that all participants are aware of these procedures.
12. Additional Safety and Compliance Requirements
Hirers must ensure:

- Activities comply with local safety regulations and legal requirements.
- Appropriate supervision of minors and vulnerable participants.
- No unauthorised or illegal activities take place on the premises.
